Who we are

BSA’s core activity is in the field of health and safety management. Projects can include accident or incident investigation.

What is Personal Data?

Personal data is data that can identify individual natural, living people includes emails, addresses, mobile and phone numbers and photos.

What Data do we hold?

We hold data associated with the carrying out of contracts, billing and quotations.

We hold data identifying individuals as representatives of their businesses or organisations.

We record testimonials and case studies about clients and their projects which are used by permission of the client.

We record seminar and training course attendance and issue of certificates.

We record and store employee data – both private data and details of qualifications and experience to be used for professional purposes.

Data Protection Policy

BSA aims to only hold data required for the running and development of the BSA business, to protect any such data to a degree proportionate to the sensitivity of the data and to securely delete data or copies of data when no longer required.

Our reason for holding data

We are primarily a business to business organisation that uses personal data to identify people who represent clients (companies or organisations or in some cases, private individuals) and suppliers. In addition, we hold data essential to the employment of staff.

We use this data for the purposes of the work that we carry out so that projects may be recorded or situations communicated.

We also use the personal data to keep clients, prospective and past clients, project associates (professionals that are working alongside our clients) and staff informed about updates in legislation, good practice, billing, seminars, news and marketing communications.

Sharing of Personal Data and Retention

We will share personal data for the purposes of projects especially as required under the CDM Regulations 2015 and subsequent or similar legislation, with other companies or organisations that are working on the same project or as required by bodies such as the Health & Safety Executive (HSE) or the courts.

We will retain project related data for as long as required by the client or connected party or as legally required.

Personal data will be retained for general communication purposes unless the Contact Opts Out of receiving the general communications. This may done by clicking the Unsubscribe button on the email,  by contacting BSA in writing or by email using the details given.

Employee data including personal details will only be shared with BSA senior and line managers and the Human Resources team. This data will be retained during the period of employment and in line with legal requirements.

Employee data such as qualifications, experience and photos may be shared with clients, project associates and prospective clients.

How we collect personal data

Personal data is collected and recorded having been given by word, on business cards, letters, project forms and emails, texts, social media, website opt ins, phone Caller ID or other communications.

How we process data with other sources

Personal data may be segmented by the nature of the client or prospective client organisation which they represent but not on any unlawful basis.

BSA Staff may take and store photos that may or may not include individuals on devices that may or may not automatically include location, date and time information.

Legal bases for holding data

BSA holds data primarily on the basis of Contract and Legitimate Interest but also where required, by Legal Obligation and in the case of contacts known to be individuals or partnerships for the purposes of email communications not required for specific ongoing projects, by Consent.

Communication

BSA may communicate specifically with employees, subcontractors, businesses, organisations or private individuals who are clients by email, phone or in writing as necessary to carry out contracts and associated actions such as quotations and billing.

BSA may also communicate generally to keep clients, prospective and past clients, project associates (professionals that are working alongside our clients) and staff informed about updates in legislation, good practice, seminars, news and marketing communications. These communications will offer the option to Opt Out of future general communications except where the contact name appears to be of a private individual where it is necessary to Opt In to receive emails.
